Quick answer

For fast business funding, have photo ID for every director, owner and guarantor, plus the business's ABN, ACN if it's a company, exact legal and trading names, and the trust deed if a trust is involved. Check the details tonight on ABN Lookup and ASIC's registers so the names on your paperwork, bank accounts and ID all line up. Mismatches are a common cause of delay.

Key points

  • Photo ID is needed for everyone who signs — directors, property owners and guarantors.
  • Your ABN, ACN, legal name and trading name should match across every document.
  • ABN Lookup and ASIC's registers are free and quick to check tonight.
  • Trusts need the trust deed and trustee details — often the slowest document to find.

Identity and entity details are the least exciting part of business funding, and one of the most common causes of a slipped deadline. A licence that’s expired, a company name that doesn’t match the bank account, a trust deed that nobody can find — each one can pause a file that is otherwise ready to go.

The fix is ten minutes tonight.

Whose ID will be needed?

Anyone who signs anything. That usually includes:

  • Every director of a borrowing company.
  • Every owner on title of any property used as security.
  • Every guarantor, which may include a spouse or business partner.
  • Sole traders or partners, if the business isn’t a company.

For each person, have a clear photo of a current driver licence (front and back) or passport, plus their mobile number and email. Check expiry dates tonight — an expired licence is an easy thing to miss and an annoying thing to fix at 11am.

What business details should I confirm?

ABNABN LookupCancelled or inactive ABN, or the wrong entity’s ABN
ACN (companies)ASIC registersCompany name differs from the trading name

GST registrationABN LookupRegistered or not, and from when

ABN Lookup is free and shows the publicly available information businesses provide when registering an ABN, searchable by ABN, ACN or business name. ASIC’s registers let you search company details and officeholders. Between them, you can confirm most of the table above in a few minutes.

What extra is needed for a trust?

Trusts are common in Australian business, and lenders deal with them all the time. They just need a few more documents:

  • The trust deed, and any deeds of variation.
  • The trustee’s details — an individual or a company.
  • The trustee company’s ACN and directors, if the trustee is a company.
  • The trust’s ABN, if it trades.

The trust deed is often the slowest document to locate, because it’s usually held by the accountant or the adviser who set up the trust. If you know a trust is involved, message your accountant tonight so they can send it first thing.

What about ATO access?

If tax is part of your situation — for example you’re funding a BAS payment or have an ATO debt — you’ll want to check your ATO balance. The ATO says you need a Digital ID such as myID, linked to the business through Relationship Authorisation Manager (RAM), to use its online services for business. If you haven’t set that up, your tax agent can usually help. It’s worth sorting out tonight if the ATO balance matters to tomorrow.

How should I send ID securely?

Don’t send ID documents until a specialist has confirmed how they’d like to receive them. Be cautious of any message you weren’t expecting asking for ID, and never share passwords or one-time codes with anyone.

Once your details are checked, send the enquiry using the exact legal name and ABN.

An illustrative example

Illustrative: Two brothers run a landscaping company through a family trust with a corporate trustee. The trading name on their ute and invoices is different from the trustee company’s name, and the business bank account is in the trust’s name. The evening before a funding call, one brother checks ABN Lookup and ASIC, notes all three names and the links between them, texts their accountant for the trust deed and photographs both licences. When the specialist calls, the entity structure takes two minutes to explain instead of two days to untangle.

What if something doesn’t match?

Mismatches are rarely a problem once explained. Note them in your enquiry or in your funding note: “Company changed name in 2024; old name still on some invoices.” If your ABN details are out of date, updating them is worth doing soon, but it usually won’t stop a conversation tomorrow.

Which documents apply to my business structure?

StructureCore documentsOften requested as well
Sole traderPhoto ID, ABNPersonal bank statements if business and personal money mix
PartnershipPhoto ID for each partner, partnership ABNPartnership agreement
CompanyPhoto ID for each director, ACN, ABNCompany extract, shareholder details
Trust with individual trusteePhoto ID for trustee, trust ABNTrust deed and variations
Trust with corporate trusteePhoto ID for trustee directors, trustee ACN, trust ABNTrust deed, company extract

If property is part of the deal, add the owners’ details from property details a lender needs. The tonight checklist pulls everything together in one list.

If your business has changed structure recently — for example moving from sole trader to company — mention the date. Statements and registrations may still show the old structure for a few months, and a one-line explanation avoids confusion.

Paperwork in order, tomorrow in reach

With ID and entity details checked, you’ve removed one of the most common causes of delay. The enquiry takes about 60 seconds, and first enquiries carry no credit check. We don’t hand your file to a stack of lenders; one team reviews it and a real person calls you. Please enter the exact legal name, ABN and state — accurate details are what let tomorrow’s call move straight to options.

Frequently asked questions

What ID is usually accepted?

A current Australian driver licence or passport is typically the starting point. Some lenders ask for a second document or use electronic identity checks. Your specialist will confirm what's needed.

My business trades under a different name from the company. Is that a problem?

No, it's common. Just provide both names and the ABN or ACN that links them. Lenders deal with trading names every day; what slows things down is not explaining the link.

Where can I find my trust deed?

Your accountant or the adviser who set up the trust usually holds a copy. If you can't get it tonight, say so in your enquiry; sometimes the assessment can start while it's located.

Do I need myID for a business loan?

Not for the loan itself. But myID, together with RAM, is how you log in to ATO online services for business, which is where you can check your ATO balance tonight if tax is part of the picture.
